Stage One – Tenant onboarding
Pre-tenancy checks
Before anyone moves in, thorough vetting is essential. That means credit checks, employer and landlord references and affordability assessments. This protects your rental income and reduces the risk of arrears.
Right paperwork
In Scotland, every tenancy must use the Private Residential Tenancy (PRT) agreement. This sets out key terms – including rent, responsibilities, and notice periods – and must be signed before keys change hands.
Setting expectations
Clear communication upfront avoids misunderstandings later. Tenants should know how to report maintenance issues, when rent is due and what’s expected in terms of property care.
Stage Two – Inventory and condition reports
A detailed, photographic inventory is one of the most important tools you have. It documents the condition of every room, fixture and fitting at the start of the tenancy.
Why it matters:
- Protects landlords from unfair deposit claims.
- Gives tenants confidence they won’t be charged for pre-existing issues.
- Serves as essential evidence if disputes arise.
We also record meter readings and confirm the number of keys issued, details that are easily overlooked but vital later.
Stage Three – Mid-tenancy management
Routine inspections
The Scottish Association of Landlords recommends inspections at least twice a year, with a written report for the landlord. This ensures the property is being well cared for and flags any issues before they become serious.
Maintenance tracking
Prompt repairs keep tenants happy and protect the property. Delays can lead to bigger problems and higher costs.
Compliance renewals
Safety certificates – for gas, electrics (EICR required every five years, PAT annually if appliances supplied) and smoke/heat alarms (required under the Housing (Scotland) Act 1987) – have expiry dates and missing one can make your property non-compliant.

Stage Four – Handling issues and damage
When damage occurs, it’s important to:
- Gather clear evidence, including photos and contractor reports.
- Communicate with the tenant about what’s happened and next steps.
- Use approved contractors to carry out repairs quickly and to a high standard.

Stage Five – End of tenancy and check-out
Notice periods
Under the PRT, tenants can leave with 28 days’ notice but landlords must give a longer notice period, depending on the reason for ending the tenancy. Knowing the correct notice rules avoids delays and legal issues.
Final inspection
A check-out inspection compares the property to the original inventory, noting any changes beyond fair wear and tear.
Deposit return
All deposits in Scotland must be lodged with an approved tenancy deposit scheme. At the end of the tenancy, the deposit return process must follow scheme rules. Disputes are resolved using the evidence gathered throughout the tenancy – another reason a strong inventory is so important.
